We are seeking a highly organized and efficient Unit Secretary to provide administrative and clerical support for our hospital or medical unit. In this role, you will be the central point of communication, responsible for managing patient records, coordinating schedules, and assisting the healthcare team in maintaining smooth operations. This is an essential position for ensuring the unit runs efficiently and effectively.
Responsibilities:
- Maintain accurate patient records and charts, ensuring that all documentation is up-to-date and properly filed
- Greet patients, visitors, and staff, providing assistance as needed and directing inquiries to the appropriate personnel
- Answer phones, take messages, and route calls to the appropriate healthcare staff
- Schedule and coordinate patient appointments, procedures, and tests in collaboration with medical staff
- Communicate patient information to healthcare professionals while maintaining strict confidentiality
- Assist in updating patient admissions, discharges, and transfers within the hospital system
- Manage inventory of medical supplies and ensure that the unit is stocked and organized
- Prepare and distribute necessary forms, paperwork, and reports to support patient care
- Facilitate communication between healthcare staff, patients, and families to ensure smooth operations within the unit
- Respond to urgent requests from staff, such as paging medical personnel or ordering supplies as needed
- Assist in basic data entry and maintain departmental records
Requirements:
- High school diploma or equivalent; additional coursework in medical terminology is a plus
- 1+ years of experience in a clerical or administrative role, preferably in a healthcare setting
- Strong organizational skills and attention to detail
- Excellent communication and interpersonal skills
- Proficiency in office software, including Microsoft Office and hospital management systems
- Ability to multitask in a fast-paced environment and manage time effectively
- Understanding of patient confidentiality and healthcare compliance standards
- Strong problem-solving skills and the ability to work independently as well as part of a team
