The Purchasing Assistant plays a vital role in the procurement process, supporting the purchasing team in acquiring goods and services necessary for the company’s operations. This position involves assisting in vendor management, inventory control, and maintaining records of purchases. A keen attention to detail and strong organizational skills are essential for success in this role.

Responsibilities:

  • Assist the purchasing manager in sourcing and selecting vendors for supplies and materials
  • Prepare purchase orders and confirm orders with suppliers
  • Maintain accurate records of purchases, pricing, and supplier information
  • Track inventory levels and assist in inventory management to ensure optimal stock levels
  • Coordinate with internal departments to understand purchasing needs and priorities
  • Conduct market research to identify potential suppliers and compare prices
  • Assist in evaluating supplier performance and resolving any issues that arise
  • Support the preparation of reports related to purchasing activities and spending analysis
  • Help manage shipping and delivery schedules to ensure timely receipt of goods
  • Maintain a professional relationship with suppliers and respond to inquiries in a timely manner

Requirements:

  • High school diploma or equivalent; associate’s or bachelor’s degree in business or related field preferred
  • Previous experience in purchasing, procurement, or a related field is advantageous
  • Strong organizational and time management skills with the ability to multitask
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook) and familiarity with purchasing software
  • Excellent communication skills, both written and verbal
  • Detail-oriented with strong analytical and problem-solving abilities
  • Ability to work collaboratively in a team environment
  • Basic understanding of inventory management principles is a plus

Work Environment:

  • Office-based role with a standard 40-hour workweek
  • May require occasional interaction with suppliers and vendors offsite
  • Fast-paced environment requiring attention to detail and the ability to meet deadlines
