Job Description

We are looking for a detail-oriented and organized Project Administrator to support our project management team in ensuring the successful execution of projects. The Project Administrator will be responsible for coordinating project activities, maintaining documentation, and facilitating communication between team members and stakeholders. This role is essential in keeping projects on track, within budget, and aligned with company goals.

Responsibilities:

  • Assist in the planning and execution of projects, ensuring all phases are completed on schedule and within scope
  • Maintain project documentation, including project plans, schedules, budgets, and status reports
  • Coordinate meetings, prepare agendas, and record meeting minutes to track project progress and decisions made
  • Monitor project timelines and deliverables, identifying potential risks or issues and escalating them to the project manager
  • Facilitate communication between project teams, clients, and stakeholders to ensure everyone is informed of project developments
  • Support the project manager in resource allocation and management, ensuring that team members have the necessary tools and information
  • Assist in budget tracking and reporting, ensuring that expenses are monitored and reported accurately
  • Help in the preparation of project proposals, contracts, and other relevant documentation
  • Conduct research and gather data to support project planning and decision-making
  • Maintain project databases and filing systems, ensuring all information is organized and easily accessible
  • Contribute to continuous improvement initiatives by identifying areas for process enhancement and implementing best practices

Requirements:

  • Bachelor’s degree in business administration, project management, or a related field
  • 2+ years of experience in project administration, coordination, or a similar role
  • Strong organizational and time-management skills, with the ability to manage multiple tasks simultaneously
  • Excellent verbal and written communication skills
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and project management software (e.g., Microsoft Project, Asana, Trello)
  • Attention to detail with strong analytical and problem-solving abilities
  • Ability to work collaboratively in a team-oriented environment
  • Familiarity with project management methodologies (e.g., Agile, Waterfall) is a plus
