Job Description

We are seeking a meticulous and organized Document Controller to manage the documentation processes within our organization. The Document Controller will be responsible for ensuring that all project documents are accurately managed, stored, and disseminated in compliance with company standards and procedures. This role is crucial in maintaining efficient document control systems and supporting project teams with the timely retrieval of information.

Responsibilities:

  • Develop and maintain a comprehensive document control system to track all project-related documentation, including contracts, specifications, drawings, and correspondence
  • Ensure that all documents are accurately classified, indexed, and archived in a manner that facilitates easy retrieval and reference
  • Review incoming documents for compliance with project requirements and company standards, ensuring accuracy and completeness
  • Distribute documents to relevant stakeholders, ensuring they receive the latest versions in a timely manner
  • Assist project teams in preparing documentation for project submittals, including quality assurance and quality control documentation
  • Monitor and manage document revisions, ensuring that the most current versions are available and outdated documents are properly archived
  • Maintain a record of document distribution and track any changes to documents to ensure accountability
  • Collaborate with project managers and team members to understand documentation needs and provide support in meeting project deadlines
  • Conduct regular audits of the document control system to ensure compliance with company policies and industry standards
  • Train team members on document control procedures and best practices

Requirements:

  • Bachelor’s degree in business administration, information management, or a related field
  • 2+ years of experience in document control, records management, or a similar role
  • Strong attention to detail and organizational skills, with the ability to manage multiple projects simultaneously
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and document management software (e.g., SharePoint, Aconex)
  • Knowledge of document control processes and industry standards (e.g., ISO 9001) is a plus
  • Ability to work independently and collaboratively within a team environment
  • Strong problem-solving skills and a proactive approach to work
