We are seeking a highly organized and proactive Personal Assistant to support the CEO in managing daily operations, coordinating schedules, and facilitating communication. The ideal candidate will act as a gatekeeper, ensuring the CEO’s time is effectively utilized while handling a wide range of administrative tasks. This role requires exceptional multitasking skills, attention to detail, and the ability to work in a fast-paced environment.
Responsibilities:
- Manage and maintain the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements
- Serve as the first point of contact for the CEO, handling inquiries, correspondence, and prioritizing communications
- Coordinate internal and external meetings, ensuring agendas are prepared, and all necessary materials are available
- Handle confidential information with discretion and maintain the CEO’s personal and professional documents in an organized manner
- Assist in the preparation of presentations, reports, and other documents for meetings and conferences
- Conduct research and gather information as required by the CEO for decision-making and strategy development
- Liaise with internal teams, external partners, and stakeholders on behalf of the CEO, ensuring clear and timely communication
- Organize and prioritize tasks, ensuring that deadlines are met and the CEO’s workload is effectively managed
- Oversee personal tasks, including managing travel itineraries, personal appointments, and other personal matters as required
- Manage special projects assigned by the CEO, ensuring they are completed on time and within scope
Requirements:
- Bachelor’s degree in Business Administration, Communications, or a related field preferred
- 3-5 years of experience as a Personal Assistant, Executive Assistant, or in a similar role supporting senior executives
- Exceptional organizational and time management skills, with the ability to multitask and prioritize effectively
- Strong written and verbal communication skills, with the ability to represent the CEO professionally
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and calendar management tools
- High level of discretion, professionalism, and confidentiality in handling sensitive information
- Ability to work independently, anticipate needs, and take initiative
- Flexibility to adapt to changing priorities and work outside of standard hours when necessary
- Strong interpersonal skills and the ability to work collaboratively across all levels of the organization
Work Environment:
