Job Description

The Receptionist is responsible for managing the front desk, greeting visitors, and providing administrative support across the organization. They handle incoming phone calls, direct inquiries to the appropriate departments, and perform general clerical duties. The Receptionist ensures the smooth running of daily operations by being the first point of contact for clients, guests, and employees.

Responsibilities:

  • Greet and welcome guests, clients, and employees as they arrive.
  • Answer, screen, and direct incoming phone calls to the appropriate person or department.
  • Maintain a tidy and professional front desk area.
  • Provide basic information to visitors regarding the company and its services.
  • Manage the booking and scheduling of meetings or appointments.
  • Distribute mail and packages, and manage outgoing mail.
  • Perform general clerical duties such as filing, photocopying, and data entry.
  • Assist with administrative tasks for different departments as needed.
  • Keep track of office supplies and coordinate with the purchasing department for restocking.
  • Ensure security procedures are followed, such as issuing visitor badges and monitoring access to the building.

Requirements:

  • High school diploma or equivalent; a degree or certification in office administration is a plus.
  • Proven experience as a receptionist or in a similar front desk role.
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Professional appearance and attitude.
  • Ability to handle sensitive information with confidentiality.
  • Customer service-oriented mindset with a focus on providing a positive experience.
